Retention Module

Reduce churn with automated re-engagement campaigns triggered by inactivity signals.

4 min readAutomation

The Retention module monitors your existing customers and leads for signs of disengagement, then automatically triggers personalised re-engagement campaigns.

How it works

1

Retention rules watch for inactivity: no email opens, no replies, no logins.

2

When a threshold is hit (e.g. 14 days of silence), a retention workflow is triggered.

3

The AI generates a personalised win-back message based on the contact's history.

4

If they re-engage, the contact is moved back to an active stage.

5

If no response after the full sequence, they are marked "At Risk" and flagged for a human.

Setting up a retention rule

1

Go to Automation → Retention.

2

Click New Rule.

3

Set the inactivity trigger (e.g. "No email open in 14 days").

4

Choose a re-engagement template or let the AI generate one.

5

Set the sequence: number of attempts, spacing, and channels.

6

Activate.

Feedback surveys

Attach a feedback survey to your retention campaign. Short 3-question surveys (NPS + open text) sent at the right moment can recover at-risk customers before they churn.

The most effective retention message acknowledges the gap: "We haven't heard from you in a while — here's what's new." Avoid generic "just checking in" openers.
